SummaryManage a team of four in the aspects of conference room scheduling and preparation, events planning, switchboard operations and guest/client interactions at this mid-sized Venture Capital Firm. Meet and greet high-profile and high-volume of guests and escort them to conference rooms. Manage the companyís main reception desk and switchboard. Set conference rooms with beverage trays and food service and then clean rooms after meetings, which involves lifting trays and pushing carts (up to 18 lbs.). Ensure main reception area, catering and conference rooms are clean and well organized. Pay close attention to everything happening within the conference area, keeping track of Executives and guests and informing team of any changes. Enhance and provide clear policies and procedures to existing training manual. Manage catering orders and department supplies. Manage the teamís group message box and conference room bookings.
QualificationsBA/BS required. 5+ years working and managing a team in similar setting, ideally in Financial Services. Basic proficiency with Word, Excel and Outlook required for email communication, coordination of meeting calendars and meeting bookings. Experience working with calendar management, including booking, moving and juggling a high-volume of meetings. Ability to multitask and work quickly under pressure while maintaining a warm, friendly and professional appearance. Perform duties as a team player, while functioning as a manager. Exceptional written and verbal communication skills; constantly maintaining transparency within the group. Must be able to lift of maximum of 18 lbs. on daily basis.
