SummaryProvide high level support to a team of approximately 10 investment professionals. Coordinate and schedule heavy domestic and international travel arrangements for the team. Maintain and manage calendar; schedule internal/external meetings and appointments and coordinate conference calls. Organize board meeting dates for portfolio companies. Organize and execute annual meeting with over 100 attendees and plan all associated events. Responsible for planning all team social outings including annual three day offsite. Troubleshoot low-level technology support for team members. Review travel and expense reports using the Concur. Manage invoice process from approval to payment. Update CRM database for team daily. Liaise with CEOs, CFOs and administrators at portfolio companies. Work on ad-hoc projects as they arise. Maintain the back-end of website, including adding/removing employees, updating content and checking front-end functionality/SEO periodically. Light personal work as needed. On-board new team members with phones, computers and supplies.
QualificationsCompleted BA/BS required. Must have at least 5-7 years of Executive Assistant experience, within financial services preferred. Must have supported a demanding team of executives. Must be polished and professional with strong communication skills and technical capabilities. Must have strong MS Office experience. Must be willing to work OT as needed - core hours are 9a - 6:30pm daily with email accessibility outside of office hours. Must have prior experience event planning, managing more junior admin staff and working with a CRM database.
