Boutique healthcare hedge fund seeking Administrative Assistant / Office Coordinator to join their team. Answer main phone lines, screen and direct calls. Meet/greet visitors and clients. Will provide direct support to CEO including extensive calendar management and detailed travel arrangements. Will compile research packets, prepare meeting materials. Point of contact for external vendors. Will maintain conference room and shared spaces, order office supplies and track inventory. Will coordinate company’s daily lunch orders. Book travel arrangements, including hotels, flights, and car service using the firm’s travel agent, reconcile team expenses. Carry out ad-hoc projects as needed.
BA/BS required. 2-3 years of experience in an administrative role, preferably in financial services or similar environment. Must have previous exposure to senior executives. Must have strong technical skills including all of MS Office. Strong problem solving and time management as well as excellent communication skills and high level of professionalism. Must be self-motivated with a positive can-do attitude.
